Non-profit groups or organizations seeking building use on a regular basis may be given reduced rental fees upon approval of the Rental Agent.

The Rental Agent reserves the right to increase building rental rates when the building is used for commercial purposes where fees are charged to participants, or products are sold.
Rental time must be made in 6 hour increments, no partial rentals are allowed.
Damage Deposit
A $200 damage deposit is required for building rental.  This deposit s due at the same time as the rental payment and will be deposited into a bank account. The full or reduced amount will be returned after the building has been inspected and the key has been returned.  Cost to repair or compensate for damage to the building and/or property will be deducted from the damage deposit prior to its return.  Individuals or groups renting the building are liable for all damages to building and/or property exceeding the amount of the security deposit.

Clean-Up
The organization or individual(s) holding the meeting or event will be expected to handle all preparation and clean-up and will be responsible for leaving the area in the same or better use of the facility.
If it is necessary for the Unitarian Universalist Society of Black Hawk County to call a cleaning service after the event has taken place, the organization or individual(s) who reserved the facility will be responsible for the cost of clean-up. Their damage deposit will be applied to the cleaning service invoice, and the organization or individual(s) will be responsible for the balance of the cleaning fees, which will be assessed at $50 per hour.
The organization of individual(s) reserving the facility will assume responsibility for repairs or replacement for any and all damage to the facility caused by members of their group during use of the facility.
Capacity
Room capacity information will be provided at the time of the reservation and must be strictly followed.
Payment

Payment is due at the time of reservation along with the damage deposit. Once the payment in full is received the space will be reserved. Prior to receiving this payment, another renter may reserve the same time with no notice being given to the first party.

Cancellation Policy

Rentals may be canceled up to two weeks in advance of the scheduled rental date with all fees being returned except a $20 processing charge. Cancellation with less than a 2 week notice will result in a fee being charged equal to one-half of the rental cost. In any case, the Damage Deposit will be returned in full.

 


 

Guidelines and Restrictions

  1. This policy shall prohibit any use of the building that is contrary to the stated policy and mission of the Unitarian Universalist Society of Black Hawk County and those policies set forth in the Bylaws and Policy and Procedures Manual. Nor shall any group be allowed building usage when such usage would compromise our non-profit status or unreasonably put the congregation at a liability risk.
  2. Every person and/or group is expected to read, sign, and abide by the guidelines and restrictions listed in this document.
  3. If a scheduling conflict should develop with a church program or ministry, the outside group may be asked to move to a different room, seek a different location or time, or cancel the rental. Deposits would be returned in this case.
  4. Signing of this agreement shall constitute willingness to comply with all rules and regulations regarding the use of the Unitarian Universalist Society of Black Hawk County’s facilities.
  5. For children and youth events, there must be adequate supervision for all usage. Proof of adequate adult supervision will be required in order to satisfy fire and safety regulations.
  6. The Society’s Administrative Assistant will process the application for use of facilities and will compute the rental fees. Permission to hold the activity will be subject to approval by the rental agent and/or the UUSBHC Executive Board.
  7. The transfer or passing on of permission to use facilities to someone other than those with whom this agreement was made is strictly prohibited.
  8. No paints, tapes or glues may be used, nor may carpentry, electrical or other construction work be done on the premises.
  9. No signs, banners, flags, streamers, etc. are to be attached or hung from any wall, post or beam within or outside the church without the approval of the rental agent.
  10. All scenery or props must be free-standing. No nails, screws or stage hooks may be used. All materials used must be noncombustible or have been treated so as to have been fire-retardant.
  11. The piano shall not be moved without permission and shall be used carefully with adult supervision at all times.
  12. No smoking or tobacco is allowed in the facility. No alcoholic beverages are to be brought onto the Unitarian Universalist Society of Black Hawk County property.
  13. Situations that are not addressed by this policy will be considered on a case by case basis.
  14. Food and drink are allowed only in the Fellowship Hall or Kitchen areas.
  15. Renters are not allowed to use existing foodstuffs in the kitchen or refrigerator. All foodstuffs brought into the facility must be removed at the end of the event.
  16. Access is only given to the areas of the facility that were rented. Specifically, no access is allowed to the second floor or basement areas.
  17. Art objects throughout the building, particularly in the Fellowship Hall Gallery are not to be moved.
  18. Telephones are for local use only.
  19.  The rental is subject to approval by the Rental Agent and/or the Executive Board.

 

Responsibilities of Renter Following the Event

  1. Turn off all lights when leaving the building.
  2. Lock all exterior doors when leaving the building.
  3. Reset thermostat. See instructions on flip down cover of thermostat.
  4. If kitchen area was used, check to make sure all stove burners and ovens are off. Wet dish towels should be placed in the container in the white corner cupboard.
  5. Clean up after event. Brooms, vacuum and cleaning supplies are kept in the Fellowship Hall bathroom storage closet. If event is held on a weekend, building must be left in a condition suitable for Sunday services. If cleaning is required, cost of janitorial services will be deducted from the Damage Deposit. (See Clean-Up Paragraph)
  6. Remove and dispose of own garbage. Trash liners are located in the storage closet (see item 5). Trash is not to be left in the facility containers.
  7. Return chairs and tables in Sanctuary or Fellowship Hall to original setting.
